About this app

90-Day & Documents

What is this app for?
Expat employees declare each return to Thailand, so HR can keep the 90-day count right and report to Immigration on time. It is also the record of every document handed to the HR office and collected again.
Who can access it?
Staff with a school account who have been added by HR. Dependent family members are covered by the employee's own account. If you cannot get in, ask HR.

How it works

Your 90 days restart every time you return to Thailand. HR can only count the returns it knows about.

Declaring a return

How a return to Thailand is declared and reported

Youthe expat employee, or a dependent family member

  1. Fly back into Thailand

Any trip abroad, however short. Every return restarts your 90 days.

  2. Get your entry stamp

Immigration stamps your passport. Ask for it to be clear and legible.

  3. Photograph the page

The whole page, passport number and stamp date readable.

  4. Declare it here

Return date and photo. Takes about a minute, on your phone.

HRkeeps the count, files the report

  1. HR checks the photo

If it is not clear, you are asked to send it again. Until then it does not count.

  2. The 90 days restart

Your next report date moves to 90 days after this return.

  3. The school reports on time

HR files the 90-day report with Immigration, with the right dates.

Documents at the HR office

How a document is handed to HR and collected

Leaving a document with HRpassport, work permit, certificates and the like

  1. Scan the QR at the office

It opens the drop-off screen straight away.

  2. Say what you are leaving

Pick the type, add a note. A photo is optional but useful.

  3. Hand it over

Give it to the HR team in person. Never leave it on a desk.

  4. HR confirms receipt

You get an email with the time and who took it. That is your proof.

Collecting itwhen HR says it is ready

  1. You hear it is ready

Or look under My documents at any time to see where it is.

  2. Scan the QR again

    Choose what you are collecting.

  3. Confirm you have it

One tap, and the record closes. You get a receipt by email.

It is your responsibility

The school reports your 90 days to Immigration, but only you know when you have travelled. A late or unclear declaration can make your report late, and any cost or delay is yours to bear. Reminders help; they do not replace you.

Reminders before it matters

You get an email and a banner on your dashboard 30, 15 and 10 days before your 90-day report is due and before your visa expires. Already renewing? Pause them with one tap.

Family members

HR keeps your family on record. Your partner and children each have their own dates, and a child who is in both parents' records is the same person in both. Either parent can declare a return or update a visa. They do not need to sign in.

Private by design

Passport photos are encrypted and read only by HR. Every time anyone opens one, it is written in a log that cannot be edited. The person who built this app cannot open them without a recorded reason that HR is told about.
